Send quotes and invoices, and get paid by PayNow
Create a quote, send it by email or WhatsApp, let customers accept online, then invoice with a PayNow QR.
Quotes
- Open Quotes, under Grow, and click New quote. Pick the lead it is for.
- Add line items, any discount, GST (none, add 9%, or prices include 9%) and a valid-until date, then Create draft.
- Click Send to customer and choose email, WhatsApp or both. The customer gets a link to view the quote, and the email carries the PDF.
- The customer clicks Accept quotation and signs, or declines. You can also upload a signed PDF yourself.
Good to know
Only drafts can be edited. Revise replaces a sent quote with a new draft and a new number.
Invoices
- Open Invoices, under Grow, and click New invoice. Or open a quote and click Create invoice (or Convert to invoice once it is accepted).
- Pick the customer, add line items, GST, the payment terms or a due date and any reference, then Create draft. Preview shows exactly what the customer will see.
- Click Send invoice to email it with the PDF, WhatsApp it, or both. Get link or Mark as sent issue it without sending, when you hand it over yourself.
- When money lands, click Record payment. A deposit or instalment is a part payment, and the invoice shows what is still due.
Good to know
Sales staff log payments and ask for voids instead of making them: the buttons read Log a payment for approval and Ask to void, and nothing changes on the invoice until an owner or manager approves it under Waiting for approval on the Invoices page. An owner or manager can let one person record payments directly on the Team page, under Permissions.
Send the PDF on WhatsApp, to any customer
WhatsApp only lets a business write freely to a customer within 24 hours of the customer's last message. To send the PDF any time, an owner or manager clicks Set it up on the WhatsApp invoices card (Invoices page) and the WhatsApp quotations card (Quotes page). Meta reviews each message, usually within minutes. Until the card shows On, a quote or invoice on WhatsApp is a text with a link that only reaches customers who wrote in during the last 24 hours. Email always carries the PDF.
A business in Indonesia gets these messages in Bahasa Indonesia (rupiah reads Rp 1.250.000, dates 17 Oktober 2026). Its cards also offer Add English, an optional English version that is used only while the Bahasa Indonesia one is not On.
Recurring invoices and reminders
To bill a customer every week, month, quarter or year, open an invoice and click Make recurring, or click New recurring invoice. Each invoice is saved as a draft for you to send, or sent automatically. In Invoice settings you can turn on payment reminders for unpaid invoices and add your GST registration number and bank details.
Set up PayNow
In Integrations, under PayNow payment requests, enter your UEN or PayNow mobile number. You can also send a PayNow request from any lead with Request payment.
